This page explains what we do with the details you give us when you book your free venue consultation on this website.
Who we are
Perfect Venue Italy (“we”), VAT no. 13352070018, registered office at Via della Vallà 38, 10040 Rivalta di Torino (TO), Italy, is the data controller. For anything about your data, write to info@perfectvenueitaly.com.
What we collect
- Your contact details: first and last name, email and, if you add it, your phone number.
- Your booking: the time of your call and your time zone.
- Your wedding details, if you share them: your partner’s name, date, number of guests, venue style, budget, accommodation, number of nights and any notes.
- What you tell us by email, WhatsApp or during the call.
Name and email are needed to book the call: without them we can’t arrange it. Everything else is optional.
Why we use it
- To give you the service you asked for: arrange and hold your call, find venues that match your wedding and put you in touch with them. Legal basis: steps taken at your request before entering into a contract, and the contract itself (Art. 6(1)(b) GDPR).
- To remind you once: if you leave your details but don’t pick a time, we may send you one email to help you finish booking. Legal basis: our legitimate interest in following up on a request you started (Art. 6(1)(f) GDPR). Just reply and we won’t write again.
- To meet legal obligations, such as tax and accounting records if you become a client (Art. 6(1)(c) GDPR).
We don’t sell your data and we don’t use it for automated decisions.
Who we share it with
- The venues we shortlist for you. To check availability, prices and visits, we send your contact and wedding details to the venues we select for you, so they can reply to you directly. Each venue then uses your data as an independent controller, under its own privacy policy. We only share your details with venues in your shortlist.
- Our service providers, who process data on our behalf and only on our instructions: Google (email, calendar, video call and spreadsheets), Vercel (website hosting) and, for website statistics, Google Analytics and PostHog (EU servers).
- Meta (Meta Platforms Ireland Ltd.), only if you accept marketing cookies: see Cookies below.
Google and Vercel are US companies. Where your data leaves the European Economic Area, the transfer is covered by the EU–US Data Privacy Framework or by the European Commission’s Standard Contractual Clauses.
How long we keep it
If you don’t go ahead with us, we keep your details for up to 24 months after our last contact, in case you come back to your search, and then delete them. If you become a client, we keep them for as long as we work together and, for invoices and accounting records, for the 10 years required by Italian law.
Cookies and similar technologies
- Vercel Web Analytics counts visits without cookies and without storing anything on your device. Legal basis: our legitimate interest in knowing how many people visit the site.
- PostHog (EU servers) shows us how visitors use the site, including recordings of visits in which everything typed into the form is hidden. It stores an identifier in your browser (cookie and local storage). Legal basis: our legitimate interest in improving the site. You can object at any time by writing to us.
- Google Analytics: unless you accept statistics cookies, it receives only cookieless signals and stores nothing on your device. If you accept, it sets the
_gacookies (up to 2 years). Legal basis: your consent. - Meta Pixel loads only if you accept marketing cookies. It sets the
_fbpcookie (90 days) and tells Meta which pages you visit and which steps of the booking form you complete, never your name, email or phone, so we can measure our ads and show them to the right couples. Meta Platforms Ireland Ltd. is joint controller with us for this collection and transmission. Legal basis: your consent.
The cookie banner appears on the pages we use for our ads. You can change your choice at any time from “Cookie settings” at the bottom of every page. If you decline, we won’t ask again for 6 months; if you accept, your choice lasts 12 months.
Your rights
You can ask us to access, correct or delete your data, to restrict or object to how we use it, and to receive it in a portable format. Write to info@perfectvenueitaly.com. You also have the right to complain to the Italian data protection authority, the Garante per la protezione dei dati personali (garanteprivacy.it), or to the authority in the country where you live.
